Privacy Policy
Last updated: 8 June 2026
This policy explains what information Centum (“Centum”, “we”, “us”) collects, how we use it, and the choices you have. Centum is a tool that helps trainee counsellors and psychotherapists log supervised client hours and track progress toward their training target. It is operated by Nexulo Designs. If you have questions, contact us at hello@nexulodesigns.com.
Important — about client information
Centum is designed so you never need to store identifying details about your clients. We strongly encourage you to record clients only as initials, codes, or pseudonyms and to keep session notes non-identifying. You are responsible for the information you choose to enter and for meeting the confidentiality and data-protection obligations of your training provider, supervisor, and professional body. To the extent any client information is entered, you act as its controller; Centum simply stores what you enter on your behalf.
Information we collect
- Account information — your name and email address, handled by our authentication provider (Clerk) when you sign up or sign in (including via Google or Apple, if you choose).
- Information you enter — clients (as codes/initials), sessions and their outcomes, supervision entries, diary/reflection entries, tags, settings (such as your hours target and reminder time), and any optional notes.
- Notification subscriptions — if you enable push notifications, the technical subscription details your browser provides so we can deliver reminders.
- Limited technical data — standard server logs from our hosting provider needed to run and secure the service.
We do not run advertising, sell your data, or analyse the content of your notes.
How we use your information
- To provide the service — track your hours, show your progress, send the reminders you opt into, and generate the reports you request.
- To secure the service and prevent abuse.
- To respond to your requests and support enquiries.
Our legal basis (under UK/EU GDPR) is the performance of our agreement with you and, for optional features like notifications, your consent.
Who we share it with
We use a small number of trusted providers to run Centum. They process data on our behalf under their own terms and security commitments:
- Clerk — authentication and account management.
- Convex — database and backend functions (your data is stored here).
- Vercel — application hosting and delivery.
- Browser push services (e.g. Apple, Google, Mozilla) — only if you enable notifications, to deliver them.
We may also disclose information if required by law. We do not otherwise share your information with third parties.
Cookies
Centum uses only the essential cookies needed to keep you signed in securely (set by our authentication provider, Clerk). We don't use advertising or analytics cookies, so there's no tracking banner to click through.
International transfers
Our providers may process data in regions including the EU and the United States. Where data is transferred internationally, our providers rely on appropriate safeguards (such as Standard Contractual Clauses).
Keeping and deleting your data
We keep your data for as long as your account is active. You are in control: in Settings → Your data you can export everything as JSON at any time, and permanently delete all of your data. Deletion removes your clients, sessions, diary entries, supervision records, and settings from our database.
Your rights
Depending on where you live, you may have rights to access, correct, export, restrict, or delete your personal data, and to object to certain processing. You can exercise the main ones directly in the app (export/delete), or contact us at hello@nexulodesigns.com. You may also complain to your local data-protection authority (in the UK, the ICO).
Security
Data is encrypted in transit, access is scoped to your authenticated account, and every record is tied to your user identity server-side. An optional PIN lock adds a layer on shared devices. No method of storage or transmission is 100% secure, so please also follow good practice — especially using codes rather than identifying client details.
Children
Centum is intended for adult trainees and is not directed at children.
Changes to this policy
We may update this policy from time to time. We will revise the date above and, for material changes, take reasonable steps to let you know.
